Summary Description
Performs administrative duties for two Program Officers and uses Foundation-wide information and support systems to manage workflow on a timely basis. Prepares and assists in the preparation of a variety of correspondence including letters, memoranda, reports, and grant requests. Schedules appointments and maintains calendars and databases. Handles, places and screens telephone calls, arranges conference calls, travel and travel accommodations. Manages reconciliation of expense accounts associated with all travel. Works as a member of two teams with the Program Officers and Grants Administrators; assists in planning major initiative meetings; and attends and participates in key meetings. Follows up on internal and external inquiries and requests for information and copies of material; prepares library requests. Establishes and maintains files necessary for Program Officers’ work. Assists grantees in appropriate ways during term of grants. Assists other staff members in the unit when necessary. Performs general clerical functions including filing, typing, copying, mail, phones, etc. Participates in various unit and Foundation-wide activities to promote collaboration, learning, improved work practices, and communications.
Qualifications
Experienced Administrative Assistant with detailed knowledge of Microsoft Office applications including Word, Excel, Outlook, related calendar and database programs, PowerPoint and presentation software. Proven ability to function independently and handle many tasks at once, with prompt follow-through. Demonstrated commitment to working as a member of a team. Excellent communication and writing skills and word processing proficiency. Familiarity with Internet navigation and search engine capabilities.
Preferred Qualifications
BA or undergraduate level experience. General experience in Windows XP environment. Knowledge of Foundation practices, procedures and policies.
Salary
$41,800 - $49,900
